Service minutes, IEP workflow, and progress monitoring — for the entire caseload.

Each student’s minutes calculated from the bell schedule. A thirty-item checklist per student, filtered by meeting type. Built by a special education case manager with nineteen years in the role.

SPEDMinutes is the tool I wanted.

In use by case managers in three states

How it works

Three steps, in order.

01

Upload a screenshot or photo of the bell schedule to calculate minutes.

02

Set your student's IEP type.

03

Use the checklist.

Capabilities

Three things the district IEP system doesn’t do.

Calculate service minutes

SAI, co-taught, push-in percentages handled. AI parses your bell schedule. Get the support-time number you need for IEPs in seconds.

Track every student

Per-student task checklists. Switch students in one click. Your caseload, organized.

No student names or IDs.

Sequential placeholders — Student 1, Student 2. The name-to-number key stays with you and never reaches us.

Why I built this

For 19 years, the IEP has been at the forefront of everything I do. Now, for the first time, it's not.

I can focus on the kids because I know I won't lose my place. I can leave work at work and go home with a clear mind.

I got to teach like a regular teacher for once. That was the best feeling. So I built it for you too.

Meeting dates and reminders

Meeting countdowns on every card

Set the meeting date once and every caseload card shows the days remaining — annuals and triennials counted down automatically. One glance and you know exactly where you stand.

Email reminders, on your terms

Opt in per student and SPEDMinutes emails you as the meeting approaches — earlier for triennials, because they're the heavier lift. Send them to any address you choose. Off by default, on when you want it.

Progress monitoring and goal writing

Progress-report quizzes, generated

Paste the IEP goal, get a progress-check quiz written to that exact skill and aligned to your state's standards style. The goal prints at the top of the worksheet — so the evidence trail for the progress report is sitting right there when you need it. Text-only, ready to hand a student. Not one more thing to build from scratch on a Sunday night.

An IEP goal bank that gives you a running start

Curated SMART goal stems by grade band — K-2 through 9-12 — and goal type: reading, writing, math. Default criteria are already in (80%, 3 of 4 trials); you individualize the numbers and conditions to your student's baseline before anything goes in the IEP. For the education specialist or resource specialist staring at an empty goal field on a Friday afternoon, it's a starting point instead of a blank page.

For Special Education Directors, Department Chairs, and Administrators

One department plan puts every case manager and education specialist on the same service-minute methodology, so the math comes out the same way across the team and the method can be shown when someone asks. Built for the special education director, department chair, program specialist, SELPA lead, or site administrator who needs department-wide uniformity.

Common questions

What does SAI mean?+
Specialized Academic Instruction. Counts 100% toward service minutes.
Do you store student data?+
There are no student name or ID fields. Students are sequential placeholders (Student 1, Student 2) and you keep the paper key matching numbers to names. Free-text fields like schedule and class labels are the one place a name could end up, so we ask you not to put one there.
What about co-taught and push-in?+
Co-taught counts 100%. Push-in is configurable (default 50%).
Can I cancel anytime?+
Yes, from your settings page. Stripe Customer Portal handles it.
Does this replace my professional judgment?+
No. SPEDMinutes supports your judgment, it doesn't replace it. Always verify against your district's IEP requirements.
